Why calendar sync is never instant, and what that really costs you
The two halves of a calendar sync: the one your tool controls, and the one Airbnb, Booking.com and Expedia control — plus how to narrow the risk.
No iCal sync tool can make your calendars instant, and you should be wary of any that promises it. The reason is simple: the platform decides when it re-reads your link.
A sync has two halves
- The import — your tool reads the platforms. Here the frequency is up to the tool, and every minute is perfectly possible.
- The export — the platforms read your link. Here you decide nothing: Airbnb, Booking.com, Expedia and Vrbo come when they choose, often every one to three hours.
When a tool advertises “instant sync”, it is describing the first half. The second stays in the platforms’ hands, identically for everyone.
What that really changes
For a booking taken three days ahead, the delay has no consequence at all. For a same-day booking, a window of a few hours remains during which another platform can still sell the same nights.
How to narrow the risk
- Keep conflict alerts on. If two bookings overlap, you should learn about it in minutes, not on arrival day.
- Limit last-minute sales on secondary platforms, for example by requiring at least one day’s notice.
- Check before confirming a direct or phone booking for the same day.
Checking that your link is being read
If in doubt, open your export link in a browser: your blocked dates should be there. If they are, but the platform is not blocking them, the problem is on the platform’s import side — a mistyped link, or simply not re-read yet — and not with your tool.
Frequently asked questions
How often does Airbnb re-read an imported calendar?
Airbnb publishes no guaranteed frequency. In practice hosts observe a re-read every few hours. It is sometimes faster, but nothing guarantees it.
Is a channel manager faster?
Yes, because it uses direct connections (APIs) with some platforms instead of iCal links. In exchange it costs considerably more and takes more setup.
My dates are not blocking at all — what should I check?
In order: the shared link is actually imported into the platform (not only exported), the import was confirmed where the platform asks for it, and the link matches the right room.
