Double bookings between Airbnb and Booking.com: why they happen and how to stop them

The exact cause, how iCal links fix it, and the one limit no sync tool can get past — including on last-minute bookings.

FRESEN

A double booking happens when two platforms sell the same nights before either has heard about the other’s reservation. The fix is one sentence: link all your calendars through their iCal links, so a booking taken on one immediately blocks those dates on the others.

Why your calendars drift apart

Airbnb, Booking.com, Expedia and Vrbo each run their own calendar, and none of them tells the others anything. If a guest books 10–14 on Airbnb, Booking.com keeps showing those nights as free until somebody blocks them.

As long as that blocking is manual, the risk never goes away: one booking taken overnight, while you are travelling, or simply while you sleep is enough.

How iCal sync actually works

Every platform publishes an iCal link: a web address holding the always-current list of busy dates for your listing. Each one can also read somebody else’s. So the method is:

  1. Copy the export link from each platform.
  2. Import them into a sync tool.
  3. The tool merges everything into one calendar and publishes a link of its own.
  4. You paste that shared link back into every platform.

From then on, a booking taken anywhere enters the shared calendar, and every other platform reads it.

The limit nobody can get past

A tool can poll the platforms every minute. But the platform decides when it re-reads your link, and it does so on its own schedule, often every one to three hours. No iCal tool can speed that up.

So iCal sync removes the vast majority of double bookings, but leaves a window of a few hours on last-minute reservations. Two habits close it: keep conflict alerts on, and check before confirming a same-day stay.

What to check once it is running

  • Each platform has actually imported your shared link, not just exported its own.
  • For a guest house, every room has its own link, and the whole-property listing is tied to its rooms.
  • Manual closures (works, personal use) are made in the tool, so they travel everywhere.

Frequently asked questions

Is iCal sync instant?

No. Importing from your platforms can be very fast, but each platform re-reads your link on its own schedule, often every one to three hours. That is a platform limit, not a tool limit.

Do I need a channel manager to avoid double bookings?

Not necessarily. For a handful of properties, iCal sync is enough and costs far less. A channel manager becomes useful when you also need to drive rates and inventory from one place.

What should I do if a double booking already happened?

Contact the guest as early as possible and offer an equivalent alternative. Talk to the platform before cancelling: a host-initiated cancellation is penalised, while a relocation the guest accepts is treated far more leniently.
